The Real Cost of Doing It All Yourself: What Admin Is Actually Costing Ontario Contractors

You didn't start your trade business to spend your evenings answering emails, chasing invoices, and re-entering the same customer info into three different apps. But if you're like most owner-operators, that's exactly where a big chunk of your week goes.

 

The numbers on this are worse than most owners guess, and once you see them, "I'll just keep doing it myself" stops looking like the safe option.

 

 

How much time is actually going to admin

 

Recent industry research puts a number on what owners have felt for years:

 

Trades owners spend around 8 hours a week on repetitive admin - roughly 384 hours a year, the equivalent of 10 full working weeks gone to paperwork instead of paid work (HoursBack / Electrical Times, 2026).

 

Heating and plumbing business owners specifically log 7.1 hours a week on admin - nearly a full workday, every week (Gas Engineer Software, 2025 Heating & Plumbing Report).

 

Founders in trades, construction, and property carry the heaviest load of any sector: 15.5 hours a week on work that could be delegated, at an estimated "founder tax" of over $50,000 a year in lost time value (Airtasker, 2026).

 

93% of tradespeople say running the business is stressing them out, and 52% haven't taken a full week off in over a year (Powered Now NOW Report, 2026).

 

That's not a productivity tip away from being fixed. That's a structural gap between what one person can carry and what the business actually needs to run.

 

 

The math on "I'll just hire someone"

 

This is usually where owners land, and it's worth doing the real math before you post the job ad.

 

A construction office manager or admin hire runs:

 

Base salary: $48,000–$75,000/year, depending on experience and region.

 

Add benefits, payroll taxes, and overhead (roughly 30%), plus recruiting and onboarding costs, and the fully loaded cost lands at $69,000–$117,000/year for one hire (OpsRev / Stealth Agents, 2026).

 

- Then there's the 44–68 day average vacancy while you're searching, during which nothing gets covered and the pile keeps growing.

- And once someone's hired, there's ramp-up time before they actually know your jobs, your customers, and your systems well enough to run without hand-holding.

 

For a lot of 3–20 person shops, that math doesn't pencil out. It's a full-time salary to manage work that doesn't need a full-time desk, it just needs to stop falling on the owner at 11pm.

 

 

Why "it's not actually fixable" is the wrong conclusion

 

The other trap owners fall into is deciding the admin pile is just the cost of running a trades business. It isn't. It's the cost of running one without anyone dedicated to owning the back office.

 

Every hour that goes to invoicing, follow-up, scheduling chaos, or database cleanup is an hour that isn't going to the next job, the next quote, or your family on a Saturday. Reviews and referrals that would come in on their own if someone asked at the right moment, and didn't because nobody asked.

Scheduling and dispatch changes that get texted, forgotten, and re-explained three times.
